Wire Fraud Prevention Notice
Cybercrime is a potential threat in real estate transactions nationwide. Instances have occurred within the real estate industry where criminals have hacked email accounts of entities related to real estate transactions (such as title company representatives, loan officers, real estate brokers and real estate agents). Using email, hackers have posed as a party to the transaction and used fraudulent wiring instructions to direct parties to wire funds to the criminals’ bank accounts, often to off-shore accounts, with little chance of recovery. In some instances, the hackers have provided false phone numbers for verifying the wiring instructions, as well. In those cases, the buyers have called the phone number provided on the fraudulent wiring instructions to confirm said instructions, and the hacker then authorizes the transfer of funds to somewhere other than the title company. Sellers have also encountered similar schemes, in which the hacker attempts to pose as the seller and requests by way of email to have the seller’s sale proceeds taken in a similar manner.
PLEASE BE ADVISED THAT ARISTOCRAT TITLE WILL NEVER SEND, VIA UNSECURED EMAIL, WIRING INSTRUCTIONS RELATED TO YOUR TRANSACTION. ALL WIRING INSTRUCTIONS WILL BE PROVIDED VIA OUR SECURE PORTAL, QUALIA CONNECT. ALTERNATIVELY, A DIFFERENT METHOD MAY OCCUR (I.E. MAILING OF THE WIRING INSTRUCTIONS, OR IN PERSON PICKUP OF THE WIRING INSTRUCTIONS). BUYERS ARE ALSO ADVISED TO DO THE FOLLOWING:
1. Obtain a trusted phone number of a representative at Aristocrat Title, at the beginning of the acquisition transaction.
2. NEVER WIRE FUNDS PRIOR TO CALLING THAT TRUSTED PHONE NUMBER TO CONFIRM WIRE TRANSFER INSTRUCTIONS. ONLY USE THE PHONE NUMBER YOU WERE PROVIDED AT THE BEGINNING OF THE ACQUISITION TRANSACTION. Do not use any other phone numbers, even phone numbers included with the wire transfer instructions.
3. Verbally confirm the wire transfer instructions with Aristocrat Title, by confirming the bank routing/ABA number, account number, and any other necessary information before taking steps to wire the funds.
4. Avoid sending personal information via email or text. Provide such information in person or over the telephone directly to Aristocrat Title.
5. Take steps to secure the system you are using with your email account. These steps include, but are not limited to, creating strong passwords, using secure Wi-Fi, as well as using two-step authentication processes.
If an email or a telephone call seems suspicious, please refrain from taking any action until the communication has been independently verified with a representative of Aristocrat Title. Promptly notify your loan officer, your real estate agent, and/or a representative of Aristocrat Title, of any suspicious phone calls, emails or texts.
